Contacts

Everyone who gets in touch becomes a contact: from your website, a booking, a text, a call, an ad or by hand. A contact's page brings together everything about them.

A contact's page

It has three columns:

  • Left: their name, email and phone, tags and owner (the person on your team who looks after them), with tabs for all their details, Do not disturb, and actions such as asking for a review.
  • Middle: their conversations, each in its own card with a reply box. Start a new email or text from New conversation.
  • Right: notes (searchable), tasks, deals, projects, payments, appointments, the workflows they're in (owners) and a full activity history.

The arrows at the top step through your contact list without going back to it.

DVT won't add a second contact with the same email or phone number. It tells you who has it, with a link to open them.

Finding people

Search Contacts by name, email or phone. The filters along the top show everyone, My contacts (the people you're the owner of), each tag, and Email problems (people whose email bounced or who marked you as spam). Tags are given a color by themselves.

Do not disturb

On a contact's DND tab, Turn off email or Turn off texts for them. The tab also shows when and how they agreed to texts.

  • Someone who replied STOP can only switch texts back on themselves, by texting START.
  • Someone who marked an email as spam isn't emailed again.
  • An owner can choose “Try this address again” for an email address that bounced once it's fixed.

Importing contacts

Owners can bring in contacts from another system, Excel or Google Sheets:

  1. Save them as a CSV file with a header row (up to 20,000 rows and 5 MB).
  2. On the Contacts page, choose Import and pick the file.
  3. Match each column: full name (or first and last name), email, phone, tags, a note, and the date they were added.
  4. Check the preview: who's new, who's already there and who's skipped. Add a tag to the new ones if you like.
  5. Import.

People already in your contacts are left as they are, rows with no email or phone are skipped, and nobody is emailed or texted.

Exporting and deleting

Owners can Export the list they're looking at as a CSV: names, emails, phones, tags, where each person came from, their email status and when they were added. Filter first to export only some.

Owners can also delete a contact. Their notes and tags go too, and their tasks unless that's switched off in Automations. It can't be undone.

Common questions

Can I merge two contacts?Coming soon

Not yet. To stop duplicates in the first place, DVT won't let you add a second contact with the same email or phone number, and links you to the one that has it. Imports skip people already in your contacts.

Vote for it on the ideas board so we know how much you want it.

Can I add my own fields to contacts?Coming soon

Not yet. Contacts have a name, email and phone, plus tags, an owner, notes and tasks. Use tags for anything you want to filter by. Answers from forms and booking questions are saved as a note on the contact.

How do I import my contacts from another system?

Owners: on the Contacts page, choose Import and pick a CSV file (most systems, Excel and Google Sheets can save one) with a header row, up to 20,000 rows and 5 MB. Match its columns, check the preview of who's new, add a tag if you like, then import. People already in your contacts are left as they are, rows with no email or phone are skipped, and nobody is emailed.

How do I export my contacts?

Owners: on the Contacts page, choose Export. You get a CSV of the list you're looking at (filter it first if you want only some), with names, emails, phones, tags, where they came from and their email status.

A customer asked us to stop emailing or texting them.

Open their contact page and the DND (Do not disturb) tab, then Turn off email or Turn off texts. Anyone who replies STOP to a text is switched off by themselves, and only they can switch it back on, by texting START.

What happens when I delete a contact?

Owners can delete a contact. Their notes and tags go too, and their tasks unless that's switched off in Automations. It can't be undone.
