Point of sale
Point of sale is a register for selling your products and subscriptions in person, on a Stripe card reader or for cash. Card money goes straight to your own Stripe account. Tap to Pay, for taking cards on your phone, is coming with the DVT phone app.
Setting up
- Connect Stripe (see Payments).
- Under Point of sale → Settings, an owner adds the business's address, your sales tax rate, saved discounts and the tip choices.
- Add each card reader there with its pairing code. DVT works with Stripe's Reader S700 and WisePOS E.
- Under Point of sale → Items, add categories (like Drinks or Services) and put each product under one. They become tabs across the top of the register. Hide products you don't sell in person and say which are taxed there too.
- New products can be added right there with Add a product: a name, a price, a size or label if you like, its category, whether it's taxed and the options it asks for. It goes into your Stripe account, like products made under Payments → Products, and straight onto the register. Another size of the same product is another price on it, added under Payments → Products: the register shows the product once and lists its prices, each with its label, when it's tapped.
- Also under Items, add options if items come in different ways: a group like Milk (pick one: whole, oat, almond) or Extras (pick any: an extra shot, syrup), each option with what it adds to the price. Then open a product's Options… and tick the groups it asks for.
Making a sale
- Open Point of sale → Register. Tap products (pick a category tab, or search them all), or type an amount. A product with more than one price (Small, Medium, Large) lists them, and you tap the one they want; an item with options asks for them too. The same item with the same options adds up on one line.
- Add the customer (or a new one) and a discount, if any.
- Take payment: on a card reader (your customer picks a tip there, if tips are on), by cash (DVT works out the change), check, or another way.
- Tax is added to taxable items after any discount. DVT doesn't file or pay it for you.
- Tips are worked out on the total after the discount, before tax.
- A subscription sold at the register is paid by card, saves the card and charges it each period after. Its setup fee is added too.
- Anyone can use a saved discount. Only owners can type in a one-off discount or change a setup fee.
- Options show under the item on the register, the receipt and the sale. A required group (like Milk) has to be picked before the item goes in. In a pick-any group, tap + for more than one of an option (three extra shots), up to 10. Subscriptions never ask for options.
A register for your cashiers
Put a tablet or computer on your counter that shows only the register. Cashiers sign in on it with a PIN, and can't see or change anything else in DVT.
- Under Point of sale → Registers & cashiers, an owner adds a register (like “Front counter”) and picks the card reader it uses. DVT shows a code.
- On the tablet, open app.dvtapp.co/register and type the code. It works once, for 15 minutes. Add the page to the home screen so it opens full screen.
- Add each cashier with their name, a 4 to 6 digit PIN and a role. Someone already on your team can have a PIN too (your business's owners start as owners on the register).
- Cashiers type their PIN, sell, and tap Lock when they step away.
- Each sale shows which cashier and which register rang it up.
- The register locks itself after a few minutes left alone (you pick how long), and can lock after every sale.
- Cashiers sell, use saved discounts, add customers and send receipts. When they need a refund, a discount that isn't saved or a different setup fee, a manager types their PIN on the register to approve it.
- Owners can do everything on the register: see every register's sales and the day's totals, see the sales reports, refund any sale, and hide or show items. The register never opens the rest of DVT, even for owners.
- Each sale and refund shows who approved it.
- Customers' emails and phone numbers are partly hidden on the register.
- Remove a register to sign its device out straight away. Switch a cashier off to stop their PIN working.
Shifts and the cash drawer
Switch on Count the drawer at the start and end of each shift under Point of sale → Registers & cashiers. A register then won't sell until someone counts the cash in.
- At the start, the cashier counts the cash in the drawer (a total, or bills and coins) and starts the shift.
- During the shift, Drawer → Pay in records cash put in (change from the bank), and Pay out cash taken out (milk from the store). Taking cash out needs a manager's PIN.
- At the end, Drawer → Close shift: the cashier counts the cash without being told what to expect, then sees whether it's right, short or over, and can print the shift's report.
- What should be in the drawer = the starting cash + cash sales − cash refunds given there + cash paid in − cash paid out.
- Owners get each shift's report by email (switch it off under Settings → Notifications), and see every shift under Point of sale → Shifts.
- One shift per register at a time; several cashiers can sell in it. A shift left open can be closed from Point of sale → Shifts.
- Sales on DVT's own register (and, once it's out, in the phone app) aren't in a shift: they don't have a drawer.
Receipts, the till and refunds
Point of sale → Sales shows each day's sales, with the totals by how people paid. Open a sale to send its receipt by email or text. Owners can refund a sale, in full or in part: card sales go back to the card, and cash is recorded as handed back. A subscription the sale started carries on.
Sales reports
Point of sale → Reports shows what sold over a run of days: today, yesterday, the last 7 or 30 days, this month, or dates you pick (up to a year).
- Taken in is what customers paid, with tax and tips, less refunds. A refund counts on the day it was given, so a day's figures don't change when an older sale is refunded.
- See it by day, by time of day, by how customers paid and by who sold, and what each item and category sold. Items and categories are after discounts, before tax and refunds.
- A sale stays under the category its item was in when it sold, so moving an item to another category doesn't change the past.
- Download sales gives a CSV file with a row per sale, and Download items a row per item sold, for your bookkeeper or a spreadsheet.
- Everyone on your team can see Reports. On a register, owners see the same summary under Reports.
Common questions
Which card readers work?
Stripe's Reader S700 and WisePOS E. Add your business address under Point of sale → Settings first, then an owner adds each reader with its pairing code. With the DVT phone app (coming soon), Tap to Pay will need no reader at all.
Does DVT pay my sales tax?
No. DVT adds your tax rate to taxable items and shows it on receipts, but it doesn't file or pay it for you.
Can my cashiers use the register without a DVT login?
Yes. Set up a tablet or computer as a register under Point of sale → Registers & cashiers, then give each cashier a PIN. On that device they type their PIN and see only the register, nothing else in DVT. A PIN only works on a device you've set up.
How do I know if the cash drawer is short?
Switch on shifts under Point of sale → Registers & cashiers. Each register's cashier counts the drawer in at the start and out at the end, and DVT works out what should be there from the sales, refunds and cash paid in or out. The shift's report says whether it's right, short or over; owners get it by email and can see every shift under Point of sale → Shifts.
How do I add a product to the register?
Under Point of sale → Items, choose Add a product. Give it a name and price (and a size, like Small, if you like), pick its category, whether it's taxed and any options it asks for, and it's on the register straight away. It's saved in your Stripe account too, so it also shows under Payments → Products, where you can add more sizes or prices to it. A product with more than one price is one item on the register: tapping it lists its prices, each with its label (like Small or Large), to pick from.
Can items have options, like milk or an extra shot?
Yes. Under Point of sale → Items, add a group (like Milk, where customers pick one, or Extras, where they pick any) and its options, each with what it adds to the price. Then open a product's Options… and tick the groups it asks for. The register asks for them when the item is added (in a pick-any group, + adds more than one of an option, like three extra shots), and they show on the receipt. Changing an option's price later doesn't change past sales.
Can I see what sold best, or download my sales?
Yes. Point of sale → Reports shows what was taken in over the days you pick (today, the last 7 or 30, this month, or your own dates): by day, time of day, how customers paid and who sold, and what each item and category sold. Download sales or Download items gives a CSV file for your bookkeeper or a spreadsheet.
Who can refund a sale or give a discount?
In DVT, owners can refund sales, in full or in part (card sales go back to the card; cash is recorded as handed back). On a register, managers and owners can refund, and a cashier can when a manager types their PIN. Anyone can use a saved discount; a discount that isn't saved needs an owner in DVT, or a manager's approval on a register.
