Projects and tasks
Projects are for running jobs: break each one into tasks, give each task to someone on the team with a due date, and watch it move to done.
Projects and tasks
- Start a project from Projects, a contact's page or a won deal. You can list its first tasks straight away, one per line.
- Drag tasks across the board from To do to In progress to Done, or switch to a list.
- A task can have notes, a checklist of up to 50 steps, an assignee, a due date and comments from the team.
- Tasks don't need a project: add a call back or a quote to send from a contact's Tasks tab.
- Owners can delete projects.
My tasks and reminders
Projects → My tasks shows everything you have, across projects and contacts: overdue first, then today, then what's coming up.
- Whoever gets a task is emailed.
- Comments email the people working on the task.
- Each morning at 7 you get a short email listing anything overdue or due that day.
Switch either email off under Settings → Notifications.
Projects that start by themselves
Owners can switch these on in Automations:
- A payment starts a project: when a customer pays a payment link or invoice.
- A won deal starts a project.
- Complete projects when every task is done.
Projects started this way get the tasks listed under Projects → Settings (up to 30).
Common questions
How do I stop the morning task email?
Go to Settings → Notifications and switch off the morning task email. The emails when a task is given to you, or someone comments on it, have their own switch there too.
Can projects start by themselves?
Yes. Owners can switch on "A payment starts a project" or "A won deal starts a project" in Automations. Each one starts with the tasks listed under Projects → Settings.
Can I give someone a task without a project?
Yes: add it from the contact's Tasks tab, such as a call back or a quote to send. It shows in My tasks and the morning email with their name.
