Common questions
Questions marked Coming soon are things DVT doesn't do yet. Vote for them on the ideas board so we know what you need most.
Getting started
How it worksIs there a password?
No. On the sign-in page, enter your email and DVT emails you a sign-in link. Open it and press Sign in. Each link works once and lasts 15 minutes, and you stay signed in on that browser for 30 days. With no password, there's nothing to forget or have stolen.
I didn't get the sign-in email.
Check your spam or junk folder, and make sure you used the email address you were invited with: the sign-in page always says a link is on its way, even for an address that isn't on a team. After 4 links to one address in an hour, DVT stops sending more for a while, so use the newest one. If you're still stuck, ask an owner to check your address under Settings → Team.
How do I add someone to my team?
Owners go to Settings → Team, enter the person's email (and name, if you like) and choose Owner or Staff. They're emailed an invitation, which lasts 7 days. Until they sign in, they show as "invited, not signed in yet", with a Resend invite button.
What's the difference between an owner and staff?
Owners run the workspace: the team, branding, billing, connections, appointment types, pipelines, the website chat and forms, and automations. Staff do the day-to-day: the inbox, contacts, the calendar, deals, tasks, payments and posts. Staff can't delete contacts or conversations, import or export contacts, or change anyone else's availability, and their social posts wait for an owner's approval.
Someone mentioned a section I can't see.
Either it's for owners only, or it isn't part of your plan. Owners can see what the plan includes under Settings → Billing.
I work for more than one business. How do I switch?
Click the business's name at the top of the sidebar and pick another workspace. You sign in once for all of them.
Can I remove myself or the last owner from a team?
No. Every workspace keeps at least one owner, and you can't remove yourself. Another owner can remove you, or add a new owner first.
Inbox
How it worksCan I assign a conversation to someone on the team?Coming soon
Not yet. For now, give the contact an owner on their contact page, and each person can filter Contacts to "My contacts". The inbox shows Open and Closed conversations, with the unread ones marked.
Vote for it on the ideas board so we know how much you want it.
Why didn't my text send?
Look under the message. DVT only texts people who agreed to texts (the checkbox on your form or booking page) or who texted you first; it never texts anyone who replied STOP; and a text that starts a conversation waits for 8am–9pm in your time zone. It also stops if the month's texts are used up. The message says which one it was.
A website visitor left before I replied. Will they see my answer?
Yes, if they gave their email. If they haven't read your reply in the chat window within 2 minutes, DVT emails it to them, and their answer comes back to the same conversation.
When a customer answers an email, where does it go?
Back into the same conversation in the inbox, so the whole team sees it.
What does "Delivered" or "not delivered" under a message mean?
It's what happened to the email or text after it left DVT. If an email bounces or the customer marks it as spam, DVT stops emailing them and flags it on their contact page. Find them with the Email problems filter under Contacts.
Can I delete a conversation?
Owners can. Its messages are deleted for good. The contact and their other conversations stay. Anyone can Close a conversation to move it out of the way, and reopen it later.
Some messages say "by AI". What does that mean?
Someone on your team connected their own AI (Claude, ChatGPT and so on) and it wrote that message. On a "Drafts only" connection, the AI's messages wait as drafts for someone to check and send. See Connect your AI.
Contacts
How it worksCan I merge two contacts?Coming soon
Not yet. To stop duplicates in the first place, DVT won't let you add a second contact with the same email or phone number, and links you to the one that has it. Imports skip people already in your contacts.
Vote for it on the ideas board so we know how much you want it.
Can I add my own fields to contacts?Coming soon
Not yet. Contacts have a name, email and phone, plus tags, an owner, notes and tasks. Use tags for anything you want to filter by. Answers from forms and booking questions are saved as a note on the contact.
Vote for it on the ideas board so we know how much you want it.
How do I import my contacts from another system?
Owners: on the Contacts page, choose Import and pick a CSV file (most systems, Excel and Google Sheets can save one) with a header row, up to 20,000 rows and 5 MB. Match its columns, check the preview of who's new, add a tag if you like, then import. People already in your contacts are left as they are, rows with no email or phone are skipped, and nobody is emailed.
How do I export my contacts?
Owners: on the Contacts page, choose Export. You get a CSV of the list you're looking at (filter it first if you want only some), with names, emails, phones, tags, where they came from and their email status.
A customer asked us to stop emailing or texting them.
Open their contact page and the DND (Do not disturb) tab, then Turn off email or Turn off texts. Anyone who replies STOP to a text is switched off by themselves, and only they can switch it back on, by texting START.
What happens when I delete a contact?
Owners can delete a contact. Their notes and tags go too, and their tasks unless that's switched off in Automations. It can't be undone.
Calendar and booking
How it worksCan I connect Outlook or Microsoft 365?Coming soon
Not yet: DVT connects to Google Calendar today, and you can connect more than one Google account. Your Google busy times block bookings, and new bookings appear on your Google calendar.
Vote for it on the ideas board so we know how much you want it.
How do I put booking on my website?
Each appointment type has its own booking page, and Calendar → Appointment types gives you the code to show it on your website, either on the page itself or as a button that opens it in a popup. On WordPress or Divi, paste it into a Code or Custom HTML block. You can also just link to your booking page.
Can customers reschedule or cancel themselves?
Yes. Their confirmation email has a link to move or cancel the appointment, which works until it starts. After that, the page asks them to contact you directly.
Can I take a deposit or charge for no-shows?
Yes, once Stripe is connected. In the appointment type's Payment settings, choose pay in full, a deposit, or keep a card on file and charge a no-show fee. You can also refund people who cancel at least so many hours ahead (24 to start with).
What happens to a payment when an appointment is cancelled?
If your team cancels, the payment is always refunded. If the customer cancels, it's refunded when the appointment type allows refunds and they cancelled early enough. Moving an appointment keeps the payment.
Why can't anyone book my appointment type?
Check that it's switched to Open for booking, that it has at least one person who takes it, and that those people have hours under Availability. Its minimum notice and how far ahead it can be booked limit the times shown too.
Can I delete an appointment type?
Only if it has never been booked. Otherwise switch off Open for booking. Its past bookings stay.
Which time zone do customers see?
Their own. The booking page works it out from their browser, and they can change it. Your hours are set in your own time zone.
Pipeline
How it worksHow do I change the stages?
Owners go to Pipeline → Pipelines to rename, add (up to 12) and reorder stages.
Can deals be added by themselves?
Yes. An owner can switch on "New leads open a deal" in Automations, so new form, lead ad and booking leads each start a deal. "A payment marks the deal won" closes it when they pay.
How does Get paid on a deal work?
With Payments set up, Get paid sends the customer a payment link or invoice for the deal's value, and the deal is marked won as soon as it's paid.
Can I have more than one pipeline?
It depends on your plan. Owners add pipelines under Pipeline → Pipelines.
Who can delete a deal?
Owners. Anyone can mark a deal won or lost instead, which keeps it in your numbers.
Projects and tasks
How it worksHow do I stop the morning task email?
Go to Settings → Notifications and switch off the morning task email. The emails when a task is given to you, or someone comments on it, have their own switch there too.
Can projects start by themselves?
Yes. Owners can switch on "A payment starts a project" or "A won deal starts a project" in Automations. Each one starts with the tasks listed under Projects → Settings.
Can I give someone a task without a project?
Yes: add it from the contact's Tasks tab, such as a call back or a quote to send. It shows in My tasks and the morning email with their name.
Payments
How it worksDoes DVT take a cut of my payments?
No. Payments go straight to your own Stripe account, and DVT doesn't add a fee. Stripe charges its usual card fees on your Stripe account.
How do I refund a payment?Coming soon
For payment links, invoices and subscriptions, refund in your Stripe dashboard for now. Point of sale refunds are done in DVT by an owner, and booking payments are refunded automatically when your team cancels.
Vote for it on the ideas board so we know how much you want it.
Do payment links expire?
No. A payment request stays payable until it's paid or you cancel it. The smallest amount is $0.50. A paid request can't be cancelled.
Can I charge a setup fee with a subscription?
Yes. A setup fee is charged once, with the first payment. Owners give a product its usual fee under Payments → Products, and you can change it or leave it off each time.
How do I cancel a customer's subscription?
Owners: open it under Payments → Subscriptions and cancel it now, or at the end of the period they've paid for.
Can I be told when a payment fails?
Yes. Switch on Payment problems under Settings → Notifications to get an email when a payment fails or is disputed, or a subscription is cancelled.
Point of sale
How it worksWhich card readers work?
Stripe's Reader S700 and WisePOS E. Add your business address under Point of sale → Settings first, then an owner adds each reader with its pairing code. With the DVT phone app (coming soon), Tap to Pay will need no reader at all.
Does DVT pay my sales tax?
No. DVT adds your tax rate to taxable items and shows it on receipts, but it doesn't file or pay it for you.
Can my cashiers use the register without a DVT login?
Yes. Set up a tablet or computer as a register under Point of sale → Registers & cashiers, then give each cashier a PIN. On that device they type their PIN and see only the register, nothing else in DVT. A PIN only works on a device you've set up.
How do I know if the cash drawer is short?
Switch on shifts under Point of sale → Registers & cashiers. Each register's cashier counts the drawer in at the start and out at the end, and DVT works out what should be there from the sales, refunds and cash paid in or out. The shift's report says whether it's right, short or over; owners get it by email and can see every shift under Point of sale → Shifts.
How do I add a product to the register?
Under Point of sale → Items, choose Add a product. Give it a name and price (and a size, like Small, if you like), pick its category, whether it's taxed and any options it asks for, and it's on the register straight away. It's saved in your Stripe account too, so it also shows under Payments → Products, where you can add more sizes or prices to it. A product with more than one price is one item on the register: tapping it lists its prices, each with its label (like Small or Large), to pick from.
Can items have options, like milk or an extra shot?
Yes. Under Point of sale → Items, add a group (like Milk, where customers pick one, or Extras, where they pick any) and its options, each with what it adds to the price. Then open a product's Options… and tick the groups it asks for. The register asks for them when the item is added (in a pick-any group, + adds more than one of an option, like three extra shots), and they show on the receipt. Changing an option's price later doesn't change past sales.
Can I see what sold best, or download my sales?
Yes. Point of sale → Reports shows what was taken in over the days you pick (today, the last 7 or 30, this month, or your own dates): by day, time of day, how customers paid and who sold, and what each item and category sold. Download sales or Download items gives a CSV file for your bookkeeper or a spreadsheet.
Who can refund a sale or give a discount?
In DVT, owners can refund sales, in full or in part (card sales go back to the card; cash is recorded as handed back). On a register, managers and owners can refund, and a cashier can when a manager types their PIN. Anyone can use a saved discount; a discount that isn't saved needs an owner in DVT, or a manager's approval on a register.
Texting and calls
How it worksWhy can't I text from my new number yet?
US phone carriers require every business that texts to be registered first. Fill in the registration under Settings → Connections → Phone & SMS. Approval usually takes a few days to two weeks, and owners are emailed when it's approved or if the carriers have questions. Calls work straight away.
Who can I text?
People who ticked the texting checkbox on your website form or booking page, or who texted your number first. Anyone who replies STOP isn't texted again until they reply START.
When do texts go out?
A text that starts a conversation waits for 8am–9pm in your time zone. Replying to someone who texted you in the last 24 hours goes straight away.
How long can a text be?
Up to 1,530 characters. Long texts are sent in parts, and each part counts toward the month's texts. The box shows how many parts yours will take.
Can I have more than one number?
It depends on your plan. Ask DVT about adding another.
Reputation
How it worksCan I see Yelp or other review sites?Coming soon
Not yet. DVT shows Google and Facebook reviews today. Your review requests can still send people to any review site you like.
Vote for it on the ideas board so we know how much you want it.
Why wasn't a customer asked for a review?
Each customer is asked at most once every 90 days. Nothing is sent until an owner sets your review link under Reputation → Review requests, or if the customer's email bounced, or if the month's texts or emails are used up.
Do my replies show on Google and Facebook?
Yes. Replies post publicly under the review. Anyone on the team can reply.
Ads and lead ads
How it worksWho pays for the ads?
You do, directly: ads run on your own Meta ad account, and Meta charges the card on it. DVT shows your spend and results.
Can I run LinkedIn or TikTok ads?Coming soon
Not yet. DVT runs ads on Facebook and Instagram today. It does bring in leads from LinkedIn lead forms and Google Local Services ads.
Vote for it on the ideas board so we know how much you want it.
Why can't I launch an ad?
Only owners can launch, boost or resume ads, and you need a Facebook Page connected. Your plan also sets the most you can spend per ad and how many can run at once.
Website chat and forms
How it worksThe chat bubble doesn't show on my website.
Add your website's address under "Websites it may appear on" in Website → Chat widget (www. and other subdomains are included), make sure "Widget switched on" is ticked, and check the code is on every page, just before </body> or in your site builder's footer code setting.
Can I build a form in DVT?Coming soon
Not yet. Today you connect the form you already have (a plain HTML form, WordPress, Webflow, Wix, Jotform and others) to the form address DVT gives you, and its answers come into DVT.
Vote for it on the ideas board so we know how much you want it.
Some form fields aren't coming through.
Open the form in Website → Forms and use Field matching to tell DVT which of your fields is the name, email, phone and so on. Common names like email and first_name are matched by themselves.
How do I collect permission to text people from my form?
Add a checkbox named consent (or sms_consent or opt_in) to your form, and paste the words next to that checkbox into the form's Consent wording in DVT. People who tick it can be texted.
Can I remove "Powered by DVT"?
Ask DVT: it can be switched off for your workspace.
Automations and workflows
How it worksWhere do I switch off reminder emails or the missed-call text?
Owners: Automations → Built-in lists everything DVT does by itself, each with its own on/off switch.
Why didn't my workflow send a text or email?
Open the workflow's history: each step says what it did, or why it was skipped (they hadn't agreed to texts, their email bounced, quiet hours, the month's allowance). Texts follow the same rules as everywhere else in DVT.
Will a workflow keep messaging someone who replied?
Not by default: a workflow stops for someone once they reply. You can change that, and choose whether someone can go through a workflow again once their last run has ended, or only once ever.
What can I put in a workflow text or email?
Fields like {first_name}, {name}, {email}, {phone}, {business_name}, {booking_link}, {review_link}, {appointment_time}, {appointment_type} and {deal_name}. Add a fallback after a bar for when it's blank: {first_name|there}.
Settings and billing
How it worksHow do I see how many texts and emails we've used this month?Coming soon
There's no meter yet. Owners are emailed when 80% of the month's emails, texts or call minutes are used, and the inbox says when they're used up.
Vote for it on the ideas board so we know how much you want it.
What happens when we run out of texts or emails for the month?
Sending stops until the next month starts (in your time zone), or until DVT raises your allowance. Calls already going are finished, and count.
How do I change our plan?
Owners: Settings → Billing. Changes are prorated on your next invoice. "Cards, invoices and cancelling" opens Stripe's billing page. If DVT set up your plan for you, talk to DVT to change it.
What if our paid plan ends?
Your workspace moves to the free plan rather than closing, and you can upgrade again from Settings → Billing at any time.
What size should our logo be?
A PNG, JPEG or WebP image up to 1 MB. It shows on your booking and payment pages and in the menu.
The phone app
How it worksWhere do I download the app?Coming soon
The DVT app is coming soon to the App Store and Google Play. We'll let you know when it's there.
Vote for it on the ideas board so we know how much you want it.
Can I move a booking or change automations in the app?Coming soon
Not yet. Moving an appointment to another time, automations and a few other settings are still on the website.
Vote for it on the ideas board so we know how much you want it.
How do I sign in to the app?
Enter your email and tap Email me a code, then type the 6-digit code from the email. There's no password.
How do I turn notifications off?
In the app's Settings, switch off New messages or New leads for each workspace. Email alerts are set on the website under Settings → Notifications.
Connect your AI
How it worksDoes DVT have its own AI, or charge for it?
No. You connect the AI you already pay for (Claude, ChatGPT and others) and it works in DVT as you. DVT doesn't charge for it.
Can the AI message customers without us checking?
Only if you allow it. When you connect, choose "Drafts only" and everything it writes waits for someone on the team to check and send.
Social
How it worksCan I post to Reddit or Snapchat?Coming soon
Not yet. You can connect them, but posting from DVT works on Facebook, Instagram, Google Business Profile, LinkedIn, TikTok, YouTube, X, Threads, Pinterest, Bluesky and Telegram.
Vote for it on the ideas board so we know how much you want it.
Why is my post waiting?
Posts by staff wait for an owner to approve them, and owners are emailed. Owners' own posts go straight out. An owner can switch approval off in Automations.
Why are my analytics numbers behind?
The networks report their numbers late: usually a few hours, and 2–3 days for Google.
